Creating or editing a programme

The programme master data contains basic information and settings for a programme. When you create a new programme, first you have to enter the master data, before you can use other functions. Which fields are available and whether they are mandatory fields depends partly on the Programme status.

NOTE: You can only create new programmes with the Project administrator role.

 

Programme master data

Programme number

Enter the unique number or identifier of the programme.

Programme

Enter a name for the programme. By clicking on the flag (Language) you can also enter deviating names in other languages.

Programme status

A programme passes through different statuses. Depending on the programme status, you must enter certain information in the master data. The programme status controls how a programme can be used in WINPACCS Cloud and which functions are available.

You can change the programme status only to a higher status and also skip statuses. But it is not possible to switch to a lower status.

Proposed

This status is intended for programmes that are still being discussed or considered. There is no financial data that can be entered into WINPACCS yet. In a programme with this status, you can start creating the master data. Only a few fields are mandatory.

If you set the programme to this status, the internal planning for the project has become more specific. You must add certain master data:

Aim of the programme

Projects can be assigned to the programme from this status.

You can also make many preparations for the future accounting and controlling of a programme, such as creating the chart of accounts, budgets, etc. Therefore the following functional groups have been added:

Programme chart of accounts

Budgets can now be created for the programme in Controlling.

Approved internally

The programme has been approved internally and costs are already being incurred, even if the donor(s) have not yet agreed.

Functionally, there is no difference to the previous status, since postings are entered within the projects.

Active

After the donor(s) have approved the project, programme activities have started. In terms of functions there are no differences to the previous status.

Ended

The programme activities have been completed. Projects can no longer be assigned.

Archived

The programme is completely finished and is no longer needed for entering new data in WINPACCS. However, all data is retained and the programme can be accessed read-only.

Programme start

Enter when the programme activities start.

Programme end

Enter when the programme activities are expected to be completed.

Programme extension

If the programme is extended, enter the new programme end here. You can extend the programme as often as needed.

Programme manager

Enter the name of the programme manager.

Aim of the programme

Provide a description of the content of the programme objective. What should be achieved with this programme, what is your goal?

Programme address

Enter an address for the main location of the programme.

Brief description

Describe briefly the programme activities.

NOTE: Many more organisation-specific programme data and classifications can be entered by adding custom fields. Which fields are available and whether they are mandatory fields is defined in the organisational settings. In the programme overview you can use these fields to filter or group by specific information.

Settings

Programme chart of accounts (sub-accounts for costs and income) is used

Indicate whether the programme specifies the cost and income sub-accounts for all assigned projects.

NOTE: The setting cannot be edited after the programme has been saved for the first time.

 

Maximum number of programme budget structures

Indicate how many budget structures can be available for the programme. A maximum of 3 structures can be created in a programme, which are transferred to the projects of the programme. There can be up to 6 budget structures in a project. The remaining number can be used for individual budget structures for each project.

NOTE: The setting cannot be edited after the programme has been saved for the first time.

Admin project

Optionally, enter a project of the programme that performs administrative tasks in the programme. This also has the following effects:

NOTE: The field is only available from programme status "In planning". Once a choice has been made, it can no longer be edited after saving.
