Budget structures

Budget structures allow you to create project-specific structures for budgeting and cost control purposes. Donor requirements or the technical structure of a project are examples of budget structures. You can create up to six budget structures within a project. For projects organised in a programme, the programme can specify up to three budget structures for all projects, thus reducing the number available in the project.

Each budget structure consists of several budget lines in up to four levels. Each level consists of a code and a name for the level. A budget structure is displayed on two tabs:

Budget lines

After you have created new budget structures or changed and saved them, you must release them. They are only distributed to WINPACCS Accounting and WINPACCS Cashbook when the project is republished.

Table

The table shows previously created budget structures. Double-click on a budget structure in the table to open it. Use the table settings to change the display and show more columns. All the budget structure’s master data are available as columns. The quick filter Show archived budget structures (QuickfilterArchived) can be used to display archived budget structures in order to reactivate them.

Budget structure number

The budget structure number is assigned automatically and cannot be changed.

Budget structure

The name of the budget structure is displayed in WINPACCS Cloud, WINPACCS Accounting and WINPACCS Cashbook wherever budget lines can be selected.

Type of budget structure

Indicates where the budget structure was created.

Project budget structure

The budget structure only applies to one project and can be edited there.

Programme budget structure

The budget structure was created in a programme and can only be edited there. It applies to all projects of the programme.

Donor budget structure

The budget structure was created for a donor and can be used as a template in projects and programmes.

Assigned funding

You can assign the budget structure to a funding. This means that only vouchers that are assigned to this funding can be assigned to the budget structure in Project accounting and Project controlling. If the voucher is assigned to another funding, the budget structure is not available.

Length

Indicated the total length of the Budget line codes.

Monitoring of quantities

Indicates whether the budget structure is also used for entering quantities. This function allows you to assign units of quantity to budget lines so that in addition to amounts, quantities can be entered to these budget lines. For example, billed expert days or booked flights can be entered as additional information on a budget line. When creating a budget, you can also enter the planned quantities in such a budget line. In Project controlling, the quantities can be evaluated and the deviation from the planned quantities can be viewed. Only one budget structure of each project or programme can be used for monitoring of quantities.

NOTE: This field is only displayed if monitoring of quantities is activated in the organisational settings for Project controlling.

Release status

New – The budget structure has been newly created and never been used. To publish it with the project data and send it to WINPACCS Accounting and WINPACCS Cashbook you must first release the budget structure.

Released – The budget structure is sent to WINPACCS Accounting and WINPACCS Cashbook and is available in Project controlling.

Edited – A previously released budget structure was changed. Release it again to apply the changes.
